Refund Policy

Cancellation and Refund Policy | Your Roots Are Showing - Ireland's Folk Conference

If you need to cancel your registration, fees are refundable minus a 50% cancellation charge, as long as the request is made at least 30 days before the event. Please note that processing fees are not refundable.

Alternatively, you have the option to defer your registration to the following year’s conference at no additional cost, provided the deferral request is made no later than 30 days before the event. Deferrals cannot be exchanged for cash, are non-refundable, and cannot be applied towards membership fees. Deferring your registration also does not guarantee future exhibit space or official showcase spots.

If you need to transfer your registration to another person, you can do so for a €25 fee by contacting the conference registration team at least fourteen (14) days before the event at admin@showingroots.com.

For transfers made within fourteen (14) days of the event, they will be processed at the on-site registration desk, also for a €25 fee.

All requests for refunds, deferrals, or cancellations must be submitted in writing using the Conference Registration Refund Request Form.

No cancellations, deferrals, or refunds will be processed after the 30-day deadline, including those related to illness or weather conditions. Attendees who do not show up for the event will forfeit their registration fee and will not receive a refund or future event credit.

​By registering for Your Roots Are Showing - Ireland's Folk Conference (“YRAS” or “the Event”), participants agree to the following Terms and Conditions.

Code of Conduct
YRAS is committed to creating a welcoming, safe, and inclusive environment for all attendees, regardless of gender, sexual orientation, disability, race, ethnicity, religion, or nationality. We expect all participants to foster a professional and respectful atmosphere.​

​

The following behaviors will not be tolerated:

  • Harassment, discrimination, or abusive language or behavior.

  • Threatening, demeaning, or harmful comments, either verbal or written, related to personal characteristics protected by law.

  • Use of inappropriate or sexual imagery.

  • Any disruption of sessions or events, or violation of event rules.

  • Unauthorized recording or distribution of presentations or content.

Consequences: Violating the code of conduct may result in immediate removal from the event, barring from future YRAS events, or other necessary actions including legal remedies.

Harassment and Discrimination Policy
YRAS stands firmly against harassment and discrimination. We encourage participants to adopt similar policies at their own organisations and report any incidents that may occur during the event. If you experience or witness any form of harassment or discrimination, you are encouraged to:

Cite our code of conduct and request the behavior to stop.

Speak with a trusted colleague or contact YRAS staff immediately.

Contact hotel security or local authorities as needed.

Incident Management Policy
YRAS staff are not empowered to enforce laws or physically remove individuals from the event premises. Any safety or legal concerns should be directed to venue security or local law enforcement. YRAS will assist by providing contact information for these authorities when necessary.

In cases where a court order has been issued against an individual attending the event, YRAS will make reasonable efforts to cooperate with authorities to ensure compliance with the order.

Media Release
By attending YRAS, participants grant permission for YRAS and its affiliates to photograph, film, and otherwise record their participation. YRAS may use this media for promotional purposes across various platforms without compensation. Participants release YRAS from any claims related to the use of their likeness in connection with the event.

Official Credentials
YRAS credentials (e.g., badges, wristbands) are issued exclusively by YRAS and may not be sold, transferred, or used by unauthorised individuals. Misuse of credentials may result in revocation without refund. Sharing online credentials is strictly prohibited. All event credentials are the property of YRAS. We reserve the right to revoke or refuse credentials at any time if terms are violated.

Cancellation, Refund, and Credentials Transfer Policy
Participants agree to the cancellation and refund policy outlined at registration. No refunds will be provided for the inability to attend due to illness, natural disasters, or other uncontrollable events. Deferral to future events is available if the event is cancelled in its entirety.

Lost or stolen credentials will not be replaced and must be repurchased at full price.

Up to 14 days prior to the event, credentials may be transferred for a €25 processing fee. After this point, transfers can only be completed on-site for a €50 fee.

Entry and Restrictions
Admission to YRAS events is subject to venue capacity, age restrictions, and other regulations as per local laws and venue policies. Credentials may not be used as promotional prizes without written consent from YRAS.

Safety and Weapons-Free Policy
YRAS enforces a strict no-weapons policy at all events. Attendees may be subject to bag checks, and failure to comply may result in removal from the event without refund.

Personal Responsibility and Risk
Participants understand that attending the event is voluntary and may involve certain risks, including physical injury or property loss. YRAS is not liable for any damages or injuries, except in cases of gross negligence.

Limitation of Liability
YRAS is not responsible for any damages, including data loss or lost profits, that may result from participation in the event.

Indemnification


Participants agree to indemnify YRAS from any third-party claims arising from their participation in the event.

Governing Law
These Terms are governed by the laws of Ireland. Any disputes will be resolved in the courts of Ireland.

General Provisions
These terms constitute the full agreement between YRAS and participants, and any updates to these terms will be communicated accordingly.
